Automatic payments apply to all payments processed according to the rules defined in your billing dynamics and cancellation policy. Once a charge is processed, a prepayment invoice is automatically created and sent to the guest, and the reservation balance is updated accordingly.

When guests make a reservation through the booking engine and enter their card details, the system securely stores this information using tokenization (without storing actual card numbers). When the payment conditions are met, the system automatically processes the charge.

100% Payment

In the case of a non-refundable cancellation policy, the entire amount of the reservation will be charged at the final step of the reservation. If the transaction is successful, the guest will automatically be issued a prepayment invoice (which is immediately charged). After the prepayment invoice is generated and charged, it will be sent to the guest at the email address provided when creating the reservation. After the prepayment invoice is successfully charged and sent, the reservation balance will be updated.

Partial Payment

When a partial payment is made, e.g. a certain amount of the reservation is paid at the time of booking, the amount specified in the payment dynamics settings is automatically charged. An invoice for the advance payment is sent to the guest by email and the reservation balance is updated according to the amount charged.

The remaining amount of the reservation is included in the scheduled payment schedule and a pending payment is generated for it, which has its own due date and amount.

Payment with Free Cancellation

For reservations with a free cancellation policy (for example, free cancellation up to 7 days before arrival), the system automatically charges the full reservation amount when the free cancellation period ends - in this case, 7 days before arrival.

Invoice cancellation

When the automatic payment invoice is cancelled, the user has two options:

  • cancel the invoice and cancel the payment on the folio (the amount is not returned to the card)

  • by canceling the invoice, the amount is automatically refunded to the card

If you don't check the refund box when canceling an invoice, you can process the refund later.

Benefits of Automatic Payment

  • Time Savings

Eliminates the need for manual card entry and payment processing. Everything is automated, significantly reducing administrative workload.

  • Fewer Errors

Automated processes minimize the risk of human error, such as incorrect amounts, dates, or card numbers.

  • Enhanced Security

The system uses tokenization and is PCI-DSS compliant, ensuring that actual card details are never stored and remain inaccessible to staff.

  • Better Revenue Control

Automatic payment based on your predefined rules ensures that cancellation and no-show policies are consistently enforced without missed charges.

  • Improved Guest Experience

Guests don't need to re-enter their card details—payments are processed seamlessly, quickly, and securely in the background.

Direct Payment

Direct payment allows guests to pay immediately when making a reservation through the Booking Engine. In the final step, guests enter their card details and the payment is processed automatically. Guests can also choose to pay using Google Pay or Apple Pay.

Once the guest enters their payment details and completes the booking, their card is immediately charged. A prepayment invoice is automatically generated and sent to their email. Depending on your payment schedule settings, either a partial amount or the full amount is charged. After successful payment, the reservation balance is automatically updated.

Guests can pay using Google Pay or Apple Pay, which enables one-click payment directly on their mobile device. This frictionless checkout process significantly increases conversion rates by making it easier for guests to complete their reservation immediately.

In the case of a group booking, all costs will be transferred to the folio of the first booking so that the card can be charged and a prepayment invoice issued.

Benefits of Direct Payment

  • Instant Booking Confirmation - Guests pay during checkout with no waiting for bank confirmations.

  • Automatic Invoicing - A prepayment invoice is generated and sent to the guest immediately after payment.

  • Zero Administration - Reservation balances are automatically updated in the system.

  • Flexible Payment Options - Charge partial or full amounts based on your payment schedule settings.

  • Apple & Google Pay - Guests complete payment with one click, without entering card details.
